Newsletter - The Production Report
Sent out quarterly. Send an email to FPC employees (and grad students if applicable) well in advance to request content. A planning document template is linked here (don't edit the template - make a copy of the document in the appropriate folder). Create a folder for the current newsletter in the Newsletter folder on the FER - FPC Team Google Drive for the planning document and any photos you receive.
When the planning document is sent out, ensure to request a volunteer to write a technology update and that someone nominates a graduate student to be featured in the grad student highlight. An email template for the grad. student highlight is included in this section.
The newsletter is made in MailChimp. It's easiest to duplicate the previous quarter's newsletter (in the Campaigns section) and update it. MailChimp credentials:

*Note that if MailChimp or any other account we use (e.g., Memberspace) asks a security question, the answer is almost always "FPC".
The newsletter links to sections of the Updates Blog on the FPC website. The FPC website is hosted by Squarespace and edits to the page are made there. You'll need to create an account with your NCSU email and be granted editing access to the FPC website by Brody Hall (rbhall@ncsu.edu).
Currently consists of five main sections (Updates Blog section of the FPC website) - examples linked below:
New Publication Highlights
The SEUS and LA updates are made on their respective pages. Click on "Pages" on the left hand navigation bar and scroll down to "FPC Updates" to find the respective updates pages. It's easiest to duplicate the previous quarter's update and edit accordingly.
Note that you'll need to update the "Quick Access to Past Updates" buttons at the top left of the page as well as the "Publication Updates" accordion at the top right.
To code the "Quick Access to Past Updates" button for the new section, find the "hidden" markdown box near the top of the update (assuming you duplicated the previous update to edit into the new section) and update the code to the current title of the section (e.g., <div id="SE - July 2025">). See the below screenshot for an example (the "hidden" text box is the blue rectangle, the text has been changed to white). When you add the new button, update the URL so that it links to the appropriate section. Review previous update sections for reference.
Ensure to update the "New Publication Highlights" on the Updates Blog page (near the bottom of the page) with recent publications provided in the planning document. Occasionally, it will make more sense to replace the middle publication with a link to something more relevant for that quarter (e.g., the 2-page reports page that is released every spring).
On the "Pages" sidebar, scroll to the "Not Linked" section to edit the Technology Updates. New Technology Updates are created as blog posts that are hosted on this page. Examples of Technology Updates:
Updates to the SPOT site classification system
A summary of a recently published paper using FPC data
A link and summation of the 2-page reports released each spring
Also on the "Not Linked" section are the Graduate Highlights. As soon as a grad. student has been nominated (they can be from any of the FPC institutions), reach out to them for content. You can use/adapt the following email template:
Hi XXXX,
I'm following up about the upcoming newsletter in which you'll be featured in the grad. student highlight. Below is the basic layout:
2 pictures: 1 of you and 1 of something that you're working on (like a graph, map, figure, etc.). Please include captions for both.
Where you're from and where you completed previous degrees. It would also be good to include the name of your previous degrees and the topic of your Master's thesis.
Name of your University current academic program.
Topic of PhD project and description of what you'll be working on during your degree.
Future plans.
If there is any published work you'd like to show off, we could add citations/links at the bottom of the story.
Funding sources that you would like to acknowledge.
This is just a general layout. If there are other things about yourself that you'd like to include, that's great too. As far as getting all of this information into the highlight story, we can do it a couple different ways. Either you can fill in this outline using bullets, and then Drew or I will format it into paragraph style for the highlight story. Or, if you prefer, you can go ahead and write it in paragraph format -- whichever is easiest for you. If you want to do the latter option, please write it in 3rd person.

When the Updates Blog is complete (i.e., SEUS updates, LA updates, Tech. update, Grad student highlight, New Publication Highlights) and the newsletter has been created in MailChimp (links and photos all updated), the email list in MailChimp must be updated from MemberSpace.

Download an Excel file of the members (Members > Export Options > Members & Plans). Add all of the new contacts to MailChimp that have been added since the last newsletter was sent out.
Ensure to do final proofread of the Updates Blog and the newsletter and notify Brody Hall for final review.
